Estimator and Dispatcher Job Description

Estimating

  • Review blueprints, plans, and specifications to prepare accurate cost estimates.

  • Perform material take-offs.

  • Edit submittals in BlueBeam.

  • Prepare proposals, budgets, and cost breakdowns for customers.

Dispatching (Trucks & Deliveries)

  • Schedule and coordinate deliveries of materials, equipment, and company trucks.

  • Communicate delivery schedules with drivers and customers.

  • Monitor delivery progress and resolve delays or conflicts.

  • Maintain dispatch sheet, trailer and driver location, and material drop-off documentation.

  • Keep track of large ongoing jobs (that have numerous loads)

Responsibilities (elaborated)

Primary Point of Contact

  • Serve as a main point of contact for assigned customers regarding scheduling, pricing, and job status

  • Answer inbound calls and emails professionally and promptly

  • Route technical or complex issues to the appropriate internal team

Customer Relationship Management

  • Maintain accurate customer records, contacts, and communication notes

  • Build and maintain strong working relationships with repeat customers

  • Develop familiarity with key customer preferences, requirements, and job patterns

Quote & Order Support

  • Prepare, send, and revise estimates based on customer requests

  • Confirm scope, quantities, delivery timelines, and site requirements with customers

  • Ensure customer approval is documented prior to scheduling or production

Schedule & Expectation Management

  • Communicate lead times, delivery windows, and changes proactively

  • Notify customers of delays, conflicts, or adjustments as early as possible

  • Coordinate with internal teams to resolve customer concerns quickly

Issue Resolution

  • Address customer questions or complaints related to deliveries, quantities, or scheduling

  • Document issues and coordinate corrective actions with operations or production

  • Follow up to ensure customer satisfaction after resolution

Account & Payment Coordination (Non-Collections)

  • Assist in sending billing details and job references

  • Coordinate with accounting when customers have account questions

  • Prompt customers to contact accounting when balances affect scheduling or terms

 

Schedule: 

Hours and days vary, especially with the time of year due to being in the construction industry – can range from 30hrs to 55hrs per week.

Typical – Monday through Friday 6:30a – 4p and every other Saturday 6:30a – 11a

*Saturday would be by yourself and only once you are trained and comfortable being alone, opening and closing the office.*

$30-$35 depending on experience
